# How much does AI for customer email cost?

AI help with customer email costs anything from nothing extra, when writing features come with your Gmail or Outlook plan, to a monthly fee per user, a fee per email or conversation, or a fee per ticket the AI resolves on its own. The useful comparison is the monthly cost at your own volume and team size, plus the time you still spend checking each reply, not the headline price.

## What are the ways AI email tools charge?

Five pricing units cover almost every tool on the market:

| Unit | You pay for | Example (checked 30 September 2026) |
|---|---|---|
| Included in your email plan | Nothing extra, as long as your plan includes it | Google lists Gemini in Gmail in all its Workspace business plans ([Google Workspace pricing](https://workspace.google.com/pricing)) |
| Per user per month | Each person with access | Microsoft sells Microsoft 365 Copilot Business per user per month, from $18 billed yearly, on top of a qualifying Microsoft 365 plan ([Microsoft 365 Copilot pricing](https://www.microsoft.com/en-us/microsoft-365-copilot/pricing)) |
| Per email or conversation | Each customer email, or each thread, the tool handles | ReplyPen: €0.25 per conversation at launch, counted per thread ([pricing](https://replypen.com/pricing.md)) |
| Per resolution | Each conversation the AI closes without a person | Intercom lists $0.99 per resolution for Fin ([Intercom Help: Fin outcomes](https://www.intercom.com/help/en/articles/8205718-fin-ai-agent-outcomes)) |
| Custom contract | A yearly fee agreed with sales | Some vendors quote larger deployments this way; ask for what the fee covers and the price in writing |

Prices change often and differ by country, so treat the examples as a snapshot and check the vendor's page before you decide.

The units are not interchangeable. A writing feature in your email plan helps you write your own replies; a per-resolution AI answers customers on its own in a helpdesk. Compare tools that do the job you need first, then compare prices.

## What are you actually paying for?

Two tools with the same price can do very different amounts of work. Before comparing numbers, check which of these each one includes:

- **Writing**: turning a prompt or an email into a reply. Every tool does this.
- **Grounding**: reading your help center, website, past replies or other systems before writing. This is what makes replies right for your business.
- **Sorting**: skipping newsletters, receipts and notifications, so you do not pay for replies to mail that needs none.
- **Showing sources**: telling you what each reply relied on, which is what makes checking fast.
- **Learning**: keeping your corrections for next time.
- **Reporting**: showing how many replies you sent unchanged or edited.

A cheap tool without grounding can cost more in checking time than an expensive one with it. Ask each vendor for a written list of what the price includes, so you compare like with like. [What is an AI email reply tool and how does one work?](https://replypen.com/blog/what-is-an-ai-email-reply-tool.md) explains these parts in detail.

## How do you work out the cost for your own inbox?

Five numbers, all of which you can find in your own mailbox:

1. **Customer emails per month.** Not all email: only messages from customers that need a reply. Count one typical month in your sent folder or support inbox.
2. **People who answer them.** Everyone who would need access to the tool.
3. **Share the tool would handle.** Some emails a tool should never draft, such as legal requests or complaints you always write yourself.
4. **Follow-ups.** How many times a customer writes again in the same thread. Some tools count each customer email; some count the thread once.
5. **Plan requirements.** Whether the tool needs a particular email or helpdesk plan underneath.

Then calculate each option:

- **Per user**: people × price per user.
- **Per email or conversation**: customer emails the tool handles × price per email, following that vendor's counting rule.
- **Per resolution**: conversations the AI closes on its own × price per resolution. Only relevant if you let it answer without a person.

[What AI drafting costs at 200, 1,000 or 3,000 emails a month](https://replypen.com/blog/ai-email-cost-at-200-1000-3000-emails.md) runs these numbers for three typical inbox sizes.

## What does that look like for a three-person shop?

An example with round numbers. A webshop has three people who answer customer email from a shared support@ address. In a normal month they get 600 customer threads, and customers write 800 emails in total, because some reply once or twice. They already pay for Google Workspace.

| Option | How it counts | Monthly cost in this example |
|---|---|---|
| AI in their Workspace plan | Included | €0 extra, but each person starts every reply, and Google lists Gemini in Gmail as unavailable to delegates of a shared mailbox |
| A writing tool at €20 per user (example price) | 3 users | €60 |
| A drafting tool at €0.25 per customer email that gets a draft | 800 emails | €200 |
| A drafting tool at €0.25 per thread, counted only when a draft is used | 600 threads | €150 |
| The same, if they use a draft in 500 threads and write the rest themselves | 500 threads | €125 |
| Per resolution | Not applicable: they want drafts a person sends, not answers sent on their own | n/a |

The cheapest line is not automatically the best. If a €150 tool saves each person an hour a day of writing and checking, and the included AI saves ten minutes, the ranking reverses once you value the time. Only a trial on your own inbox tells you which.

## Which pricing model is cheapest?

It depends on how many emails each person answers.

- **Per user** is cheapest when few people answer a lot of email each.
- **Per email or conversation** is cheapest when several people share a moderate volume, or when volume swings by season.
- **Per resolution** only fits when the AI answers on its own and you trust how the vendor defines "resolved".

There is a simple break-even point between the first two: divide the price per user by the price per email. The result is the number of emails per person per month at which both cost the same. [Per conversation, per seat or per resolution](https://replypen.com/blog/per-conversation-vs-per-seat-vs-per-resolution.md) works through it with examples.

## What costs do pricing pages leave out?

The headline price is rarely the whole cost. Ask about:

| Hidden cost | Question to ask |
|---|---|
| Base plan required | Does it need a specific email, office or helpdesk plan? At what price? |
| Counting rules | Is a follow-up in the same thread counted again? Are skipped emails counted? |
| Minimums | Is there a minimum number of users or a minimum monthly fee? |
| Commitment | Is the low price only with a yearly contract? |
| Overage | What happens if one month is busier than your plan? |
| Setup | Is there a setup fee, or does onboarding need a paid project? |
| Your checking time | How long does it take to check a reply before sending? |

The last row is the largest cost for most small businesses, and it never appears on a pricing page. A tool that saves ten minutes of writing but needs eight minutes of checking saves two.

## Are prices with or without VAT, and in which currency?

Check both before comparing. Business software prices are usually shown without VAT, and US vendors often price in dollars, so a dollar price and a euro price are not directly comparable until you convert them and add the VAT that applies to your business. For a small business that cannot reclaim VAT, the difference is real money. Also check whether a yearly price is shown per month: a "from" price billed yearly can be noticeably lower than the same plan billed monthly.

## How do you compare the price with the time saved?

Use your own numbers, roughly:

1. **Minutes per reply today**, from writing to sending. Time a few typical replies.
2. **Minutes per reply with the tool**, including reading and checking the draft. Measure this during a trial, not from the vendor's claims.
3. **Replies per month** the tool would handle.
4. **Value of an hour** of the person answering, in wages or in what else they could do.

Time saved per month = (minutes today minus minutes with the tool) × replies ÷ 60. Multiply by the value of an hour and compare with the monthly price.

Two warnings. Measure checking time honestly: a draft you have to verify fact by fact is not much faster than writing. And count quality too: fewer follow-up questions from customers is time saved as well, even if it is harder to measure.

## When is the AI in your existing email plan enough?

Often, for a while. If you answer a modest number of varied emails yourself, and the facts you need are in your own inbox and files, the writing features that come with your email plan may be all you need. They cost nothing extra if your plan already includes them.

They tend to stop being enough when the same customer questions come in every day, several people share a support@ address, the answers live in a help center or on your website, or you need to see and correct what each reply relied on. [ReplyPen vs Gemini in Gmail](https://replypen.com/compare/replypen-vs-gemini-in-gmail.md) compares the two approaches with sources for each claim.

## What should a trial tell you about the price?

A free trial is the only reliable way to put numbers on the time saved. Use it to measure, not just to look around:

- **Count** how many emails the tool would have charged for during the trial, under its own counting rule.
- **Time** a sample of replies with the tool, including checking.
- **Note** every draft where you corrected a fact; those are the replies where the tool cost you time instead of saving it.
- **Multiply** the trial numbers up to a month and compare with the price.

A trial on your real inbox, with your real questions, beats any calculator.

## What should you ask any vendor about pricing?

1. What exactly is one billable unit: a user, an email, a thread, a resolution?
2. Is a follow-up from the customer in the same thread counted again?
3. Are emails the tool skips counted?
4. What base plan do I need, and what does that cost?
5. Is there a minimum, a commitment or an overage charge?
6. Can I try it on my real inbox before paying, and what does the trial include?
7. Can I see my usage during the month, and can I limit it?

A vendor who answers all seven in writing is giving you a price you can plan with.

## What does ReplyPen cost?

ReplyPen has one price at launch: €0.25 per conversation, with every feature included and no plans or tiers. A conversation is one customer email thread in which you use a ReplyPen Draft, by sending it as written or after editing. Further replies from the customer in the same thread do not count again, and regenerated Drafts, Drafts you never send and email skipped by your Rules are not counted. Newsletters, receipts, notifications, auto-replies, internal mail and spam are skipped automatically. [What counts as a conversation in AI support pricing?](https://replypen.com/blog/what-counts-as-a-conversation.md) explains why these definitions matter across vendors.

At that price, 400 conversations a month cost €100 and 1,000 cost €250. There is no spending limit you can set today; Rules that skip senders or topics lower the number of conversations. ReplyPen is opening to new teams from a waiting list, and the first 7 days will be free, without a card. Full details are on the [pricing page](https://replypen.com/pricing.md).
