# Your customer replies, already written, and still sounding like you.

_For founders who answer every customer email themselves_

Connect the mailbox your customers write to, in Gmail or Outlook, and ReplyPen writes a Draft in the thread of each customer email that needs an answer, in the way you write. Read it on your laptop or in the mail app on your phone, change what you want and send it yourself. Every edit teaches ReplyPen, and nothing goes out without you.

[Join the waitlist](https://replypen.com/waitlist). We're opening to new teams soon. We'll email you when your spot is ready.

Example Draft, in hello@yourbusiness.com, to Lotte Janssens, subject "Could I pay the invoice in two parts?":

> Hi Lotte, of course, no problem at all. Pay half of invoice 2026-118 now and the rest by 31 October, to the same account. I'll make a note so you don't get a reminder in between.
>
> Thanks for letting me know in advance. Sofie

Check note under that Draft:

- Website page: Terms, paying in instalments
- Past email: your reply to Jonas on 8 Sep, same request

## Less time in your inbox, the same voice in every reply.

_What changes when you are the support desk_

### Replies your customers recognise as yours

ReplyPen learns how you answer from the replies in your sent mail. Your greeting, your length, your sign-off. The customer still hears from you, not from a template.

### Evening email, cleared from your phone

Drafts are normal drafts in Gmail or Outlook, so they wait in the mobile app too. Read one on the sofa, change a word, send it, and the laptop stays closed.

### Fix a sentence once

When you change a Draft before sending it, ReplyPen learns from what you changed, so the next customer with a similar question gets a better first version.

## Know where an answer came from, even at the end of a long day.

_Check note_

When you are the only one who answers, every promise in a reply is yours to keep. Each Draft comes with a Check note that names the website pages and past emails it used, so you can confirm an answer without looking it up yourself.

Example Draft, to Marc Dubois, subject "Can I still cancel Saturday's session?":

> Hi Marc, yes. Cancelling up to 48 hours before a session is free, so you can still cancel Saturday and get the full amount back. Reply to this email to confirm and I'll process the refund.
>
> If you would rather move to another date, tell me which one suits you.

Check note under that Draft:

- Website page: Booking terms, cancellations
- Past email: your reply to Inès on 16 Sep, cancelled 3 days ahead

## You press send, every single time.

_Stay in control_

- A new account only writes Drafts. Each one waits in its thread until you send it, change it or delete it.
- Email that needs no answer from you, like newsletters and automated messages, gets no Draft, so there is nothing extra to clear on your phone.
- Not happy with a Draft? Tell ReplyPen what is off, such as "too formal", in the web app and it writes a new version.
- Your email stays yours. ReplyPen deletes nothing, and you can disconnect the mailbox from the web app whenever you like.

In a business of one to ten people, customer email usually lands on the owner, in between quotes,
deliveries and everything else. ReplyPen writes the first version of each reply, so your time goes
to checking and sending instead of typing out the same explanations again.

## How much time does customer email take when you answer it yourself?

For many owners it is the part of the day that never appears in a plan: an hour or two of email,
spread over the day and often finished in the evening. Most of that time goes into finding the
right answer again and writing it up politely, not into deciding what to say.

ReplyPen takes over the writing. You still read every reply, but you start from a finished Draft
instead of an empty one. During the closed beta, ReplyPen's founder answered customer email with it:

> "Customer email used to take me two hours a day. With ReplyPen it takes ten minutes, and the
> quality of my answers is much better."
>
> Will Dewulf, ReplyPen founder, closed beta

What you save depends on how much email you get and how often the answer is already on your
website or in an earlier reply.

## How does ReplyPen keep replies sounding like you?

Customers of a small business write to a person, and they notice when the answer suddenly reads
like a call center. ReplyPen writes every Draft to your Tone profile: a plain-language description
of your writing, built from replies you have already sent. It covers your greeting, the length of
your answers, whether you use first names, and your sign-off.

You can read the Tone profile in [Memory](https://replypen.com/product/memory.md) and correct a trait that is off. The
edits you make before sending teach ReplyPen as well, so over time its Drafts need fewer of them.

## Can you answer customer emails from your phone?

Yes. ReplyPen places each Draft as an ordinary draft in the customer's thread, so it shows up in
the Gmail or Outlook app on your phone as well as on your laptop. Open the thread, read the Draft,
adjust it and send it, like any other email you send from your phone.

That changes the evening routine. An email that came in during a busy afternoon already has its
reply written by the time you get to it. Clear a few on the train or after dinner, and keep the
laptop for the replies that need real thought. Feedback on a Draft and your Rules are in the
ReplyPen web app.

## Does it work when customers write in another language?

Yes. Each Draft is in the language the customer wrote in, and it still follows your Tone profile.
ReplyPen writes good Drafts in Dutch, French and German, which helps when you sell across borders
and answer every language yourself.

## What does ReplyPen cost for a small business?

The first 7 days cost nothing. After that, each conversation costs €0.25, so 100 customer
conversations in a month come to €25, and a quiet month costs less. Work out your own number in
the [pricing section](https://replypen.com/#pricing).

## Read how ReplyPen thinks you write

_Memory_

Your Tone profile and what ReplyPen learned from your edits are kept in Memory, in plain words. If a trait is wrong, such as a sign-off you never use, correct it there.

## Questions from founders who answer their own email

**Do I need a help center before I start?**

No. Most small businesses do not have one. ReplyPen starts from your website and the replies you have already sent, and its answers get sharper as you correct Drafts.

**I answer from my own address and from hello@. Which one do I connect?**

One account connects one mailbox, with one Tone profile, so connect the one where most customer email arrives. If hello@ forwards into your own mailbox, connecting your own mailbox covers both. A Rule keeps ReplyPen away from senders it should not draft for, such as your accountant.

**Is ReplyPen only for software companies?**

No. It works for any business that answers customers by email, from a workshop or a web shop to a design studio. Software companies that want answers from their own product data can look at [ReplyPen for B2B SaaS](https://replypen.com/b2b-saas.md).

## Start with the email already in your inbox.

_Get started_

Link the mailbox your customers write to and your website. The next customer email opens to a reply that already sounds like you.
