# Support replies drafted from your help center, ready in your inbox.

_For teams that run support for a software product_

ReplyPen writes a Draft for every email that needs a reply, using your help articles, your website and past replies. A Check note under each Draft shows what it used. You read, fix, send. Nothing goes out unless you say so.

[Join the waitlist](https://replypen.com/waitlist). We're opening to new teams soon. We'll email you when your spot is ready.

Example Draft, in support@yourproduct.com, to Priya Nair, subject "Can I export our whole workspace?":

> Hi Priya, yes. Go to Settings, then Data, then Export. The file arrives by email within a few minutes and includes archived projects too. Exports are available on the Team plan and up, which your account is on.
>
> If the download link does not show up, reply here and I will send it directly.

Check note under that Draft:

- Help article: Exporting your workspace
- Website page: /pricing, what each plan includes
- Past email: your reply to Tom on 3 Sep

## Three things that matter on day one.

_What changes for a support inbox_

### Repeat questions, answered from your own docs

Exports, invoice copies, seat changes: the Draft comes from your help articles, so the answer matches what you publish.

### A shared inbox that stays yours

Drafts land in your support address in Gmail or Outlook. No new tool, no new login for the team.

### Corrections that stick

Change a Draft before you send it and ReplyPen learns from the change, so similar questions get better.

## See what a Draft used before you send it.

_Check note_

Billing questions are where a wrong answer costs the most. The Check note under each Draft lists the sources it relied on, so you can open any of them before you hit send.

Example Draft, to Marcus Feld, subject "Why was I charged $48 on top of my annual plan?":

> Hi Marcus, the $48 on 14 Sep is for the extra seat you added that day. Seats added mid-cycle are billed for the rest of the current year, so it is a one-off amount, not a second subscription. Both charges are on the invoice under Billing.
>
> If you would rather remove the seat and have it refunded, reply here and we will sort it today.

Check note under that Draft:

- Help article: How mid-cycle seat changes are billed
- Website page: /pricing, annual plans
- Past email: your reply to Dana on 21 Aug, same question

## Draft only, you send every reply.

_Stay in control_

- Every account starts draft-only. A Draft waits in your inbox until someone on your team sends it.
- Rules let you skip senders and topics, or always draft for the ones that matter most.
- Auto-send for a topic you trust, such as export requests, is coming in a later version.

Much of the email a SaaS support inbox gets has been answered before: in a help article, on the
pricing page, or in a reply a teammate sent last month. The work is finding that answer again and
writing it up for this customer. ReplyPen does that part and leaves the decision to you.

## How does ReplyPen fit a shared support@ inbox?

- **Same thread, on any device.** Connect a shared address like support@ when it has its own
login ([which shared addresses work](https://replypen.com/for/shared-support-inbox.md)). Each Draft is a normal draft in the thread of the customer's email, so it
shows up in Gmail or Outlook on your laptop and in the mobile apps.
- **Your own Rules.** Newsletters, notifications, receipts, auto-replies, internal mail and spam get
no Draft. Add Rules to skip email or always draft for it, by sender, domain, subject or body text.
- **One mailbox, one voice.** Each account connects one mailbox with one Tone profile. Everyone who
works from support@ sees the Drafts; inviting teammates into the ReplyPen web app is coming.
- **No migration.** ReplyPen is not a helpdesk and not a new inbox. The web app lists every email it
handled, for when you want to review several at once.

## What does ReplyPen read to answer a SaaS customer?

| Source | What it covers for a software product |
|---|---|
| Help center | How-to steps and feature explanations. Connected by its public link; Zendesk, Intercom, Help Scout, Freshdesk, Zoho and Salesforce help centers work. |
| Website | Pricing, plans and policy pages. |
| Past emails | The answers your team already sent, and how you write them. |
| Files | Documents you upload, such as a plan comparison or your terms. |

Each Draft is written in the language the customer wrote in and follows your Tone profile, built
from the replies you have already sent. More on [the Check note](https://replypen.com/product/inbox#what-is-in-a-check-note).

## What if the answer depends on one customer's account?

A help center explains how the product works. It cannot say why one customer's invoice shows a
certain amount or why their job did not run: that answer is in your production data and your code.
Software companies can connect their code base and a read-only view of their database with
[ReplyPen for B2B SaaS](https://replypen.com/b2b-saas.md), so Drafts can explain how the product actually behaves. See
[answers from your code base and production data](https://replypen.com/b2b-saas/codebase-grounding.md).

## What does it cost?

When you start, the first 7 days are free, with every feature and no card. After that you pay only
for what you use: €0.25 per conversation. Details are on the [pricing section](https://replypen.com/#pricing).

## Does your product change faster than your help center?

_For software companies_

ReplyPen for B2B SaaS is one setup that supports three levels: your company, your customers, and their users.

[ReplyPen for B2B SaaS](https://replypen.com/b2b-saas.md)

Example Draft from a connected code base with ReplyPen for B2B SaaS, subject "Did the seat limit on the Team plan change?":

> Hi Lena, yes. Since version 2.14 the Team plan allows 15 seats instead of 10. The help article still shows the old limit, we are updating it.

Check note under that Draft:

- Repository: billing/plans.ts, seat limit changed 12 Sep
- Help article: Plan limits (last updated in June)
