# What is tone of voice in customer email?

Tone of voice is how a business sounds when it writes: formal or casual, brief or chatty, how it greets and signs off, whether it uses first names or jokes. A consistent tone makes replies from different people, or from a drafting tool, read as if they came from one business.

Tone is not what you say but how you say it. The same refund policy can be explained in two stiff
sentences or in three warm ones. Larger companies write tone guides; small businesses usually have
a tone without ever writing it down, and it lives in the replies they have already sent.

## Why it matters

Customers notice when a reply does not sound like you. A shop known for friendly, short answers
that suddenly sends a paragraph of corporate phrasing feels like a template, or like a stranger.
When several people answer the inbox, or when an AI tool drafts replies, a clear sense of the tone
keeps every reply sounding like the same business.

Tone also changes with the situation. The voice stays the same, but a complaint about a lost parcel
gets fewer exclamation marks than a thank-you note.

## An example

One business opens with "Hi Sam," answers in two sentences, and signs off "Cheers, Lotte". Another
writes "Dear Mr Carter," and closes "Kind regards, the customer service team". Both are fine;
mixing them is not.
