What is an audit trail?

An audit trail is a record of what happened, when and by whom or what: which email arrived, which sources were read, which draft was written, who edited or sent it. It lets you reconstruct a decision afterwards, which matters most when an AI system took part in it.

Audit trails exist in accounting, security and software. For customer email handled with AI help, the useful version answers a simple question about any reply: how did this answer come about?

Why it matters

When a customer disputes an answer, or a reply turns out to be wrong, you want to know whether the source was outdated, the draft misread the question, or someone changed it before sending. Without a record you are guessing. With one, you can fix the actual cause, whether that is an article, a setting or a habit.

An audit trail also supports accountability under data protection rules, as long as it records what was done without keeping more personal data than needed.

An example

A customer says they were promised free shipping. The record shows the draft quoted the shipping page as it read at the time, and that page still listed an old free-shipping threshold. The page is updated the same day.

In ReplyPen: The web app lists every email ReplyPen handled; open one to see its Draft, its Check note and what happened with it.
